Office Administrator

The Office Administrator works to support the efficiency of IAVSP's office in a variety of ways. The Office Administrator's position requires great flexibility due to the changes implicit in IAVSP's calendar. The Office Administrator reports directly to the Program Director.

The Office Administrator will:
  • Deliver technical training to site administrators and teachers
  • Deliver technical training to parents, if necessary
  • Prepare materials required for training sessions
  • Oversee moderation of school discussion boards
  • Communicate with K12 regarding update and maintenance of content on the school's website
  • Provide technical support to administrators, teachers, and families
  • Support school administrators in monitoring and tracking student information through K12's student account management system
  • Log and report issues pertaining to technology, materials delivery, enrollment, and customer service back to K12 for process improvement
  • Support the Program Director with student enrollment process
  • Manage all incoming calls and the telephone system as a whole
  • Answer phones when forwarded or rolled over
  • Greet guests who visit the office
  • Check-in, track faxes and distribute to site-based staff
  • Coordinate all incoming/outgoing package processes on-site (Fed-Ex, UPS, courier service)
  • Organize and maintain student records
  • Sort and distribute mail; maintain stamps, mailing and package shipment supplies
  • Assist with inventory and maintenance of all office equipment, supplies, and services
  • Set up conference calls, meetings and office functions both on and off-site
  • Keep all conference rooms, kitchen and general traffic areas clean and in order
  • Clerical duties as requested
  • Assist in maintaining contact with families, teachers, and other community members
  • Assist in the preparation and publication of IAVSP newsletters
  • Assist in all aspects of the enrollment process
  • Assist with all marketing and program-wide events
  • Manage travel arrangements, as requested
  • Coordinate special events
  • Create and maintain contact database
  • Create and maintain administrative calendars in Outlook, as needed
In addition to the above program-specific responsibilities, the Office Administrator may be asked to assist with national K12 efforts including training, and curriculum/process enhancements.

Requirements:
  • Great organizational and time management skills
  • Strong knowledge of Windows 2000 Pro, XP a plus
  • Working knowledge of digital phone systems (PBX or others)
  • Professional experience using MS Excel, MSWord, PowerPoint, Access and Outlook
  • Experience using search engines (Internet) for research projects
  • Experience using a student information system and/or other type of database
  • Experience with inventory management preferred
  • Ability to travel and work off-site
  • Experience developing and delivering technical training preferred
Compensation includes competitive salary commensurate with background and experience, and other similar programs, and a benefits package.
